05 Legal Bases for Processing

Under the UK GDPR, we must have a lawful basis for processing your personal data. The legal bases we rely on are:

  • Legitimate interests (Article 6(1)(f)): to operate and improve our introduction service, prevent fraud, and ensure the service functions correctly. We have carried out a legitimate interests assessment and are satisfied that our interests are not overridden by your rights;
  • Performance of a contract / pre-contractual steps (Article 6(1)(b)): to process your enquiry and provide the introduction service you have requested;

06 Sharing Your Personal Data

We will share your personal data with:

  • Financial advisors on our panel: we will share your name, postcode, telephone number and stated service requirement with one or more matched FCA-regulated financial advisors for the sole purpose of enabling them to contact you. These advisors are independently responsible for their own processing of your data in accordance with their own privacy policies and FCA obligations;
  • Service providers: we use carefully selected third-party service providers to support our operations (e.g. cloud hosting, CRM software, analytics, telephony). These providers act as data processors under our instruction and are bound by contractual data protection obligations;
  • Regulatory and law enforcement authorities: where required or permitted by law, we may disclose your data to the FCA, HMRC, ICO, police or other authorities;
  • Business transfers: in the event of a merger, acquisition or sale of all or part of our business, your personal data may be transferred to the acquiring entity, subject to the same data protection commitments.

We will never sell your personal data to third parties for their own marketing purposes. We do not share your data with any person or organisation outside of those described above.

07 International Data Transfers

We are a UK-based business and store your personal data on servers located within the United Kingdom and/or the European Economic Area (EEA). We do not routinely transfer your personal data outside of the UK or EEA.

Where any of our service providers process data outside the UK or EEA, we ensure that appropriate safeguards are in place in accordance with UK GDPR requirements, such as the use of International Data Transfer Agreements (IDTAs) or standard contractual clauses approved by the UK Information Commissioner.

08 Data Retention

We retain your personal data only for as long as is necessary for the purposes for which it was collected, taking into account legal, regulatory and business requirements:

  • Enquiry data (name, contact details, postcode, service type): retained for up to 3 years from the date of your enquiry, unless you request earlier deletion. This allows us to evidence compliance with FCA requirements and to respond to any queries or disputes;
  • Telephone call recordings: retained for up to 12 months for training, quality assurance and compliance purposes;
  • Website analytics data: aggregated and anonymised after 26 months;
  • Financial and accounting records: retained for 6 years in accordance with HMRC requirements;
  • Consent records (for marketing): retained for the duration of the consent period, plus 3 years after consent is withdrawn, to evidence that we had consent at the time of any marketing communications.

Once the applicable retention period has expired, we will securely delete or anonymise your personal data.

Right to erasure You can request that we delete your personal data where there is no compelling reason for us to continue processing it ("the right to be forgotten").
Right to restrict processing You can ask us to restrict how we use your data in certain circumstances, for example while a dispute is being resolved.
Right to data portability You can ask us to provide your personal data in a structured, machine-readable format so that you can transfer it to another organisation.

We do not sell or share your contact details with third parties for the purpose of third-party direct marketing.

12 Data Security
